Give Up Your Old POS?

RHBS • Aug 31, 2021

At the time you put in your POS, it was likely the best system you could find, and it has probably done its job. However, the new POS systems available today offer better reliability, more built-in options (like online and tableside ordering), better reports, and far better pricing than you’d imagine. Thus, our most recent POS systems likely offer you a much better solution.

Cloud-Based System

One of the greatest problems with the older POS systems is their structure and the resultant downtime. Most are server-based, so all of the programming and data reside on one computer. If that primary computer goes down, then everything goes down. Most new POS systems are cloud-based, meaning all the programming and data are in the cloud. So if one station goes down, then the others keep running. Huge difference!

Another problem with the older POS systems is the integrations with new services like hand-held units for tableside ordering and online ordering. Unfortunately, when an older technology integrates with a newer technology, more frequent breakages occur. With the newer cloud technology POS systems, they do not break as often and, when they do, they are much easier and faster to fix.

Accessible Reports

The new POS systems also provide extensive and accessible reports. With the older, server-based POS systems, reports can only be accessed via computer with some sort of Back Office installed. With the new Cloud POS systems, reports can be accessed with just a username and password from any computer or smart phone. Many also have smart phone apps. In addition to being more accessible, the reports are also more comprehensive and accurate.

Supplemental Technology Included

The new Cloud POS systems include supplemental technologies such as online ordering, gift cards, loyalty programs, and handheld units. Your old POS might work with all these things, but the interfaces are typically clunky, difficult to set up and prone to problems.

Even if you're not extensively using these options now, they are definitely the direction the industry is going. Why miss out on technology that can significantly grow your business?

Pay Less for a Better System

One more thing on the money side — the new POS systems are often configured by default to charge the credit card fee to the customer. This means not only do you get the equipment at no cost, but you could actually pay less each month for a better system!

Of course, you could turn off the charge-to-customer option, but nearly all of our new bars and restaurant installations are going in that direction. Some people may gripe, but most don't even notice, and many others understand that you are in business to make a profit, margins are thin, and getting customers to pay for their own credit card use is good way to get full value out of your pricing.

The system calculates both cash and credit prices for each item, then shows the cash discount on the receipt when the customer pays with cash. If the charge-to-customer option is turned off, your credit card fees would remain what they are. There would not be any additional savings.

Regrettably, any time you switch out a primary system in your business, there is going to be some hassle. Maybe some parts aren’t optimally set up, and there’s always a learning curve as the staff learns a new system. However, POS providers today are willing to put in new POS systems at no cost to you in order to get your credit card processing business. So, the real cost of making a switch is just the hassle. Deciding if it’s worth it is up to you, but I believe the benefits of switching will far outweigh any hassle.

Currently, our most popular POS:  SpotOn POS System
